A professional HVAC estimate lists the equipment (brand, model, tonnage, SEER2 rating), installation labor, materials like line sets and thermostats, permit and disposal fees, the total with tax, a validity window (usually 30 days), and your license and insurance details. Itemized estimates win more jobs than single-number bids because homeowners can see exactly what they're paying for.
How long should an HVAC estimate be valid?
30 days is the industry standard. Equipment and refrigerant prices change often enough that most contractors won't honor a quote older than that. The template's “Valid until” date defaults to 30 days out — adjust it per job.
Should I charge for HVAC estimates?
Most residential HVAC companies offer free estimates for replacements and installs, but charge a diagnostic fee ($75–$150) for repair calls — then credit it toward the repair if the customer proceeds. That's what the “Diagnostic visit” line in this template is for.
How much deposit should an HVAC contractor ask for?
