Frequently asked questions

What should a freelance invoice include?
Your business details, the client's, a unique invoice number, a reference to the proposal or contract, itemized lines (milestones, hours, rush fees), the total, a concrete due date with net terms, accepted payment methods, and a late-fee policy. US clients may also ask for a W-9 — that's separate from the invoice itself.
What payment terms should freelancers use?
Net 14 is a sensible default for small businesses; large companies will often impose Net 30–60 through their AP process. Whatever the term, write the actual due date on the invoice and charge a deposit up front (25–50%) so you're never fully exposed.
How do I invoice for milestone-based projects?
Bill each milestone as one line referencing the proposal (“milestone 2 of 3 — design system delivered”), with change requests and extra revision rounds as separate hourly lines. This template's presets model exactly that.
Do freelancers charge sales tax?
In most US states, pure services aren't subject to sales tax — but some states (e.g. New Mexico, Hawaii, South Dakota) do tax services, and digital goods have their own rules. Outside the US, VAT/GST usually applies. Check your jurisdiction; the tax field applies whatever rate you need.
Is this freelance invoice template free?
Yes — unlimited invoices, unlimited PDF downloads, no account. Your client data stays in your browser.
