What should a photography invoice include?
The package as a single line with the agreed price, included deliverables (shown at $0), any add-ons like second shooters or albums, the retainer already received, the balance and its due date, usage-rights language, and the delivery timeline. It should reconcile exactly with your contract.
When should photographers invoice clients?
Retainer (25–50%) at booking to hold the date, balance due 7–14 days before the event. For commercial work, Net 15–30 after delivery is typical. Never deliver the full gallery before the balance clears.
Should usage rights be on the invoice?
Yes — one line stating what's licensed (“personal-use license included; commercial usage quoted separately”). Usage is the difference between a $300 shoot and a $3,000 one, so put it in writing on every document.
Do photographers charge sales tax?
It varies: many US states tax tangible deliverables (prints, albums) but not pure services or digital delivery — and some tax everything. Check your state's rules and apply the rate in the tax field if needed.
